Project Abstract

The rapid digitization of procurement processes has transformed how small and medium-sized enterprises (SMEs) manage sourcing, supplier collaboration, and cost governance, yet empirical evidence on the measurable impact of digital procurement platforms (DPPs) remains fragmented across industries. This study investigates how DPPs influence cost reduction and supplier relationship management (SRM) within SMEs, leveraging a mixed-methods design that combines quantitative survey data from 210 SMEs across manufacturing, retail, and services sectors with qualitative interviews of 25 procurement leaders and a case study of three SMEs that implemented a DPP within the last two years. The research identifies key functional capabilities of DPPsβ€”e-sourcing, e-procurement, supplier onboarding and risk assessment, contract management, spend analytics, and supplier collaboration portalsβ€”and examines their direct and indirect effects on total cost of ownership (TCO), time-to-purchase, inventory turnover, and payment terms. A conceptual framework is developed to map how digital automation, real-time analytics, and interoperability with enterprise systems influence negotiation leverage, supplier performance, and risk mitigation, moderated by firm size, initial procurement maturity, and supplier base diversity. Quantitative analyses employ multivariate regression and structural equation modeling to quantify the relationships between platform adoption, process standardization, and cost outcomes, while controlling for macroeconomic variables and industry characteristics. Qualitative findings illuminate the mechanisms through which DPPs enhance SRM, including improved supplier segmentation, performance dashboards, proactive risk monitoring, and collaborative innovation cycles, as well as potential drawbacks such as implementation complexity, data governance challenges, and vendor lock-in. The study also assesses the ROI profile of DPP implementation by examining upfront investment, change management requirements, training needs, and the long-run impact on procurement cycle times and supplier responsiveness. Cross-case synthesis reveals that SMEs with clear governance structures, executive sponsorship, and standardized data practices derive the most pronounced benefits in cost reduction and SRM, whereas benefits plateau when platform utilization remains siloed or when suppliers lack digital readiness. The research offers a set of evidence-based recommendations for SME procurement leaders select platforms with strong integration capabilities and modular features aligned to strategic goals; prioritize data quality and master data governance; redesign processes to exploit automation and analytics; implement phased change management with clear KPIs; and develop a robust supplier development program to maximize SRM outcomes. The study contributes to theory by integrating digital procurement capability theory with SRM dynamics in the SME context and provides practical guidance for policymakers and technology vendors seeking to accelerate SME procurement modernization. Limitations include potential self-selection bias, regional focus, and rapid technology evolution, suggesting avenues for longitudinal and cross-regional studies.

Project Overview

What This Project Is About

A plain-language overview of how digital procurement platforms help small and medium businesses manage purchasing more efficiently, cut costs, and build better relationships with suppliers. The project compares traditional purchasing methods with online platforms and explores what changes in daily purchasing decisions and supplier interactions.

The Problem It Addresses

Many SMEs face high procurement costs, manual processes, and fragmented supplier data. This leads to wasted time, errors, and less favorable terms. The project investigates how digital tools can streamline buying, improve transparency, and enhance collaboration with suppliers.

Objectives of the Project

  1. Identify key features of digital procurement platforms used by SMEs.
  2. Assess how these platforms impact cost, lead times, and process efficiency.
  3. Explore effects on supplier relationships and communication.
  4. Provide practical guidelines for SMEs on selecting and implementing a platform.

What You Will Do Step by Step

  1. Review existing literature on digital procurement and SME challenges.
  2. Choose a SME case study or conduct a survey of local SMEs.
  3. Collect data on purchasing costs, cycle times, and supplier interactions before and after platform use.
  4. Analyze data to identify cost savings and improvements in relationships.
  5. Compare different platform features and their impact.
  6. Summarize practical recommendations and potential risks.

Expected Outcome

Clear insights into how digital procurement platforms can reduce costs and enhance supplier relationships in SMEs, plus a simple guide for choosing and implementing a platform tailored to small businesses.
